Privacy Policy

Effective date: October 8, 2026

Zealous is operated by Fanbase, Inc. (“Zealous”, “we”, “us”). This policy explains what information we collect when you use zealous.app and our related applications and services (the “Service”), what we do with it, who we share it with, and the choices you have. It forms part of our Terms of Service.

The short version: we collect what we need to run the Service, we do not sell your information, we do not show you ads, and we do not use your recordings to train AI models of our own.

1. Who is responsible for your information

For information about you as an account holder or visitor, Fanbase, Inc. is the data controller.

The recordings you add to the Service usually contain other people: co-hosts, guests, callers. For the personal information of those people, you decide why and how it is processed, and we process it on your behalf and on your instructions. You are responsible for having the right to record them and to upload, transcribe and publish what they said. See “Your Content” in our Terms.

2. Information we collect

Information you give us

  • Account information. Your name, email address and password. If you sign in with Google or X, we receive your name, email address, profile picture and account identifier from that provider.
  • Connected accounts. If you connect an X account so that the Spaces you host can be saved, we store the access tokens X issues to us, and we read your public profile and the Spaces associated with your account. You can disconnect it at any time.
  • Your Content. The audio and video you upload or import, and what is made from it: transcripts, speaker names, clips, highlights, summaries, rendered videos, playlists and podcast feeds. Your Content can include the voices, names and words of other people.
  • Organization information. The name of your organization, its members and their roles, and invitations you send.
  • Billing information. Your plan, subscription status and invoices. Payments are handled by Stripe; we never receive or store your full card number.
  • Communications. Messages you send to support, feedback you submit, and your replies to our emails.

Information we collect automatically

  • Usage information. The pages and features you use, the actions you take, and when.
  • Device and log information. IP address, browser type and version, operating system, device identifiers, referring page, and diagnostic and error information.
  • Session replay. We record sessions of use of the Service so that we can see and fix problems. See section 5.

3. How we use information

  • to provide the Service: store your recordings, transcribe them, generate highlights and summaries, render videos, and publish what you choose to publish;
  • to create and secure your account, and to prevent abuse and fraud;
  • to bill you and manage your subscription;
  • to answer your questions and provide support;
  • to send you service messages: verification, security, billing, and notices about your content or account;
  • to understand how the Service is used, fix errors and improve it;
  • to comply with the law and enforce our Terms.

We send marketing email only where the law allows it, and every such email has an unsubscribe link. Service messages are not marketing and cannot be switched off while you have an account.

Legal bases. If you are in the European Economic Area, the United Kingdom or Switzerland, we rely on: performance of our contract with you (providing the Service); our legitimate interests (securing and improving the Service, preventing abuse); your consent where we ask for it; and compliance with legal obligations.

4. AI processing of Your Content

The Service uses third-party AI providers to do its work. When you transcribe a recording, its audio is sent to our transcription provider. When highlights, summaries or other suggestions are generated, the transcript, and in some cases the audio, is sent to our AI model providers. These providers are listed in section 6.

We do not use Your Content to train AI models of our own. AI output can be wrong: review transcripts, highlights and summaries before you rely on them or publish them.

5. Analytics and session replay

We use PostHog for product analytics, error tracking, in-app support and session replay. A session replay reconstructs what happened on screen during your use of the Service so we can diagnose problems.

In these recordings, everything you type into form fields is masked, and the addresses of your media files are removed. Text displayed on screen, which can include your transcripts, is visible to us in a replay. Access to replays is limited to people at Fanbase, Inc. who need it to support and improve the Service.

6. Who we share it with

We do not sell your personal information, and we do not share it for advertising. We share it only as follows.

Service providers

These companies process information on our behalf, under contract, to run the Service:

When you publish

Anything you choose to publish or share, such as a share link, an embed, a playlist or a podcast feed, is available to anyone who has the link or subscribes to the feed, and may be copied by them. Media files are served from web addresses that are hard to guess but are not protected by a password: anyone who obtains such an address can open the file.

Other members of your organization

Members of an organization can see that organization's content and each other's names and email addresses.

Legal and business reasons

We may disclose information if we believe in good faith that the law requires it, or to protect the rights, property or safety of Zealous, our users or the public. If we are involved in a merger, acquisition or sale of assets, information may be transferred as part of that transaction, and we will tell you before it becomes subject to a different privacy policy.

7. Cookies and similar technologies

We use cookies and browser storage for three things:

  • Essential. To keep you signed in and keep your account secure. The Service does not work without these.
  • Preferences. To remember settings such as your theme.
  • Analytics. To understand how the Service is used, as described in section 5.

We do not use advertising cookies. You can block or delete cookies in your browser settings; if you block essential cookies you will not be able to sign in.

Do Not Track. Browsers can send a “Do Not Track” signal. There is no common standard for how to respond to it, and the Service does not currently change its behavior when it receives one.

8. How long we keep information

We keep your account information and Your Content for as long as your account is open, so that the Service can work. You can delete individual recordings, clips, renders and playlists at any time. When you delete your account, we delete your profile, sign-in methods and sessions from the Service immediately, and your analytics history within 30 days. An organization you own is handed to its longest-standing admin, or member if there is no admin; an organization nobody else belongs to is deleted with all its content, and any subscription it has is cancelled. Content you added to an organization that continues belongs to that organization and stays, no longer linked to your account. We keep what we must to comply with the law (for example, billing records, which our payment processor keeps), to resolve disputes, or to prevent abuse. Copies in backups are overwritten on our normal backup cycle. Two residual copies are not removed this way: the working copy of a transcript kept by our real-time editing service, which is no longer reachable once its transcript is deleted, and, if your account came from the previous version of Zealous, the archive of that version's database, which is kept as it stood when that version was retired.

When you connect an X account, Spaces you host are saved to your organization automatically. If you disconnect the account, saving stops; Spaces already saved remain until you delete them.

9. Security

We use measures appropriate to the risk, including encryption in transit, access controls and the security programs of the providers listed above. No method of transmission or storage is completely secure, and we cannot guarantee absolute security. If we learn of a breach that affects your personal information, we will notify you as the law requires.

10. International transfers

Fanbase, Inc. is based in the United States, and we and our providers process information in the United States and other countries whose data protection laws may differ from those where you live. Where we transfer personal information out of the European Economic Area, the United Kingdom or Switzerland, we rely on a lawful transfer mechanism such as the European Commission's Standard Contractual Clauses.

11. Your choices and rights

You can correct your profile in your account settings, delete your content in the Service, disconnect connected accounts, and unsubscribe from marketing email.

Depending on where you live, you may also have the right to: access the personal information we hold about you; have it corrected; have it deleted; receive a copy in a portable format; object to or restrict our processing of it; and withdraw consent where we rely on consent. You can delete your account yourself from Settings → Security. To exercise any of the other rights, email support@zealous.app. We may need to verify your identity, and we respond within 30 days. We will not discriminate against you for exercising your rights.

If you are one of the people heard in a recording that another user added to the Service, please contact that user first; they control that content. You can also write to us and we will pass your request to them.

European Economic Area, United Kingdom and Switzerland. You have the right to lodge a complaint with your local data protection authority.

California. California residents have the rights to know, delete and correct their personal information, and the right to opt out of its “sale” or “sharing”. We do not sell or share personal information as those terms are defined in California law, and we do not use sensitive personal information for purposes that would give rise to a right to limit its use.

12. Children

The Service is for people who are at least 18 years old. We do not knowingly collect personal information from children. If you believe a child has given us personal information, contact us and we will delete it.

13. Changes to this policy

We may update this policy as the Service changes. When we make a material change, we will tell you by email or with a prominent notice in the Service before it takes effect, and we will update the effective date above.
